How TrLook Consulting tripled the number of client projects each specialist can lead

1 project3+ projects

per specialist

We have already doubled our client base without adding to the team. The return on our investment in Numerus has been incredible.

From a data scavenger hunt to a financial picture the team can use

For every new client, the first job was an expedition. A specialist had to chase figures through accounting systems, bank records, spreadsheets, email threads, messenger conversations, and shared folders, then request anything that was still missing. Only after collecting, cleaning, and reconciling those inputs could the actual financial work begin.

TrLook could not solve that by forcing clients into a standard stack. The value of the service is meeting each business where it is. But that also meant one specialist was doing the same low-leverage collection work over and over before getting to any analysis.

Now, Numerus agents plug into the systems, messengers, inboxes, and files a client already uses. They gather the inputs, clean and structure the data, and prepare the factual report and model. That gives the specialist a solid starting point for the client conversation instead of a list of files to collect.

Impact

  • Recurring data collection no longer depends on manual follow-ups
  • Factual reporting and models begin with cleaner, structured inputs
  • The client can keep working in its existing tools

The starting point is no longer a pile of files and messages. We can get straight to the question the client actually needs answered.

From growth gated by hiring to 3+ projects per specialist

Before the change, a specialist could rarely lead more than one client project well. Adding a client meant finding another experienced finance professional in a tight market, because the first part of every engagement consumed so much of the team's capacity. TrLook's growth was gated by hiring.

Once agents took over the repetitive collection and preparation, that constraint disappeared. The same specialists can now lead three or more engagements instead of one - without turning every client conversation into a rushed status update.

Impact

  • Three or more projects per specialist instead of one
  • More time in every project goes to advisory work
  • The consulting practice can grow without proportional team expansion

We are not growing by asking people to squeeze harder. We are growing because their judgement now reaches more clients.

From scepticism about AI quality to a team that builds its own agents

At first, the team was sceptical about the quality of work AI agents could do. The output had to be reliable enough to use in a client project. Otherwise, the specialist would still need to redo the work by hand, and the agent would not save any time.

During the one-week onboarding, the Numerus team worked with TrLook on the tasks its specialists were already doing: collecting data, preparing reports, and building financial models. The team learned how to set up agents for this work and how to check the results. By the end of the week, employees were building agents themselves.

This changed how the team handles routine work. If a task would take ten minutes by hand, employees often ask an agent to do it instead. They also build agents for small, recurring tasks as they appear. Numerus is now one of the main tools TrLook uses across client projects.

Impact

  • Recurring tasks no longer keep specialists away from client work
  • The team can create automation when a new need appears, without waiting for outside help
  • One week of onboarding created a capability the company can keep building on

Once the team saw the quality of the output, the question changed from ‘should we use agents?’ to ‘what else can we hand off to one?’

Yana's advice: remove the work that keeps experts from being experts

If every new client starts with a week of chasing files, hiring is only treating the symptom. Start with the work that repeats: where the data lives, what has to be requested, what gets cleaned, and what gets reconciled. Automate that layer first, then let your people spend their time on the trade-offs and decisions only they can make.

See what your team could stop chasing

If every client engagement starts with collecting numbers across systems, messages, email, and files, Numerus can help identify which preparation steps agents can take over without asking clients to change the way they already work.
